Zapier Review 2026: 9,000 Apps, One Task Meter, and a New AI Pricing Tier You Should Read Before You Build
Zapier is still the easiest way to wire one app to another, and it now wants to be the layer that lets Claude or ChatGPT act on those apps too. This review checks what is true today against Zapier's own pricing page and help center: AI steps have cost 1x, 3x or 5x tasks since June 15, every MCP tool call costs two tasks, Next Gen Zaps entered early access on Sept 23, and the Free plan is still 100 tasks a month. Then it adds what real users say, which is mostly about the bill.

Still the easiest way to connect almost any app to almost any AI. Also the platform where the bill, not the building, is the thing you have to manage.
"Zapier's real product in 2026 is reach: 9,000+ apps, a builder a non-developer can finish in an afternoon, and now an MCP layer that lets Claude or ChatGPT act on those same apps. The weakness is the meter. Every successful action step is a task, AI steps now cost 1x, 3x or 5x tasks depending on the model tier you pick, and every MCP tool call costs two. Most of the angry reviews I read are not about things breaking. They are about a quota disappearing."
My honest read: if you are a non-technical team and your time is worth more than the subscription, Zapier is still the safe default, and the Free plan is a fair way to find out. If you run high-volume, many-step workflows, price it before you build, and compare Make and n8n first. This is a VERIFIED EDITORIAL REVIEW: official pricing, help-center and product-update pages checked on Oct 3, 2026, plus published user sentiment. I did not run a controlled hands-on test.
One company, five things you can build: Zaps, Agents, MCP connections, Tables and Canvas.
Zapier started as a trigger-and-action tool and has become a small platform. As of this check Zapier's own site lists Zaps (classic automations, with Next Gen Zaps in early access since Sept 23), Zapier Agents (AI teammates that work across apps), Zapier MCP (a hosted endpoint for Claude, ChatGPT, Cursor and other clients), Tables (a structured data layer), Canvas (diagramming and planning), plus Chatbots, Interfaces and the Zapier SDK. The homepage now describes the company as "the control plane that connects any AI to any tool".

A note on ownership: Zapier is a private company. I found no acquisition or ownership change in the sources I read, and nothing in them suggests it is owned by another company.

Business review sites rate it well. Trustpilot is full of billing complaints. The pattern is consistent: easy to start, expensive to scale.
1.3 out of 5; 74% one-star, 10% five-star. Aug 2026: "their refund policy...they asked what 'wasn't working' for me...The answer was always going to be no." Another: "I set up a basic three step lead integration...it burned through my monthly task allowance in less than 48 hours." Trustpilot notes Zapier has not replied to negative reviews.
Scores Zapier 3.8/5 overall: ease of use 4.7, integrations 4.9, but value for money 2.4. "Each action step counts as a separate task...750 tasks translate to only 150 workflow runs if you're using multi-step automation." Reports first workflow live in 3 minutes and 100 free tasks used in 4 days.
Moved 15 workflows from Zapier Professional at $69/month to self-hosted n8n at about $3/month: "a workflow with 5 steps counts as 5 tasks per run. So a 'simple' workflow that runs 10 times a day burns through 50 tasks." One developer's case, not a typical bill.

AI by Zapier moved to model-based pricing on June 15, 2026 and is available only on Professional, Team and Enterprise. Standard is 1x tasks per run and has no tool support; Advanced is 3x, the default, and can use tools; Premium is 5x. Connecting your own AI account bills at 1x. A per-step limit pauses a Zap that reaches 75 tasks in a single run until you approve.
Pick by who builds, how many steps, and how many runs.
Start on Free. 100 tasks is enough to build one two-step Zap and judge it.
Professional at 750 tasks, but count steps times runs first.

Everything draws from the same pool: actions, AI steps, code, MCP calls. That is the feature and the catch.
The heart of Zapier is still the Zap: one trigger, then actions. What changed in the last year is that more things sit on the same meter. Per Zapier's help center, every successful action step is one task, and triggers, Filter and Paths steps, errored steps and Formatter, Delay, Looping, Digest and Storage steps are not counted. AI by Zapier varies by model tier, Code by Zapier is one task at the standard runtime (more with extended runtime), Lead Router is five tasks per successful lead, and Zapier MCP is two tasks per tool call. Zapier Agents are the exception: they bill in separate activities.

- Failed or halted steps are not counted; triggers and filters are free, so a filter that stops a run early saves tasks.
- You can connect your own AI account and pay 1x tasks while the provider bills tokens.
- Usage alerts (May 2026) now warn you about task spikes.
- A five-step Zap that runs 100 times a day is 4 tasks x 100 x 30 = 12,000 tasks a month by my arithmetic (trigger not counted), which is far beyond the entry tier.
- The default AI tier is Advanced at 3x, so an AI step costs three tasks unless you change it.
- Savings claims from Zapier customers on the homepage are the customers' own.
Describe it, let Copilot or a Next Gen Zap draft it, then test and approve before it goes live.

Next Gen Zaps deserve a careful note. Announced Sept 23 and in early access on paid plans by request, they remove the 500-item loop cap, add branches that split and rejoin, nested loops, error handling that continues, mid-run pause for human input, and a monitoring agent that can diagnose failures and suggest fixes. During early access they are free of task charges; Zapier says billing will later follow standard task pricing at one task per app action, with failed actions not counted. Known limits per the help center: TypeScript code is capped at 200,000 characters, and many Enterprise features (audit logs, workspaces, folder permissions, sub-Zaps) are not supported yet. I have not tested them.

Agents are the AI-first side of Zapier, and they are metered differently from Zaps.
Zapier Agents let you create "AI teammates" with company knowledge (FAQs, documents, public links) that act across the app catalogue on a trigger or on command. Zapier's pricing page lists 400 activities a month on Free and 1,500 on Pro, with a per-run cap (10 on Free, 40 on paid) so one runaway run cannot drain the quota. The help center defines an activity as a trigger use, knowledge lookup, app action, web search, browse request or Chrome-extension message, so one run uses several. When you hit the limit agents stop acting but you can still chat. Team and Enterprise users share one pool.

- Lead qualification, meeting prep, support triage across tools you already pay for.
- Tables give an agent a place to keep state.
- Activities are a second meter on top of tasks; budget both.
- An agent with write access to your CRM is a higher-permission surface than a Zap with a fixed path.
Zapier MCP turns the catalogue into tools for Claude, ChatGPT and Cursor, at two tasks a call.
Zapier's MCP page says assistants can "discover and run actions while Zapier manages the connections and access controls", across 9,000+ apps and 66,000+ triggers and actions, with credentials staying in Zapier's connection layer rather than being exposed to the model. MCP is included on all plans. At ZapConnect Zapier added API by Zapier (direct API access for unsupported apps), custom actions for internal APIs and, "coming soon", a Shared MCP server so a whole team does not configure each person separately.

One more item for completeness: a June 2026 supply-chain malware campaign (Mastra npm packages) included Zapier's browser-extension ID among 166 extensions it tried to steal data from. Zapier was not compromised, and I did not find a Zapier statement in the write-up, so treat it as context rather than a Zapier incident (opensourcemalware.com).
Best for non-technical teams that value speed and app coverage over unit cost.

Five real gaps, not manufactured ones.
Every successful action is a task, and AI steps are 3 tasks by default. Independent testers and Trustpilot reviewers both describe quotas vanishing within days.
Trustpilot's 1.3 out of 5 is dominated by refund and support complaints. Zapier had not replied to negative reviews when I read it.
Zapier Functions is being deprecated, AI pricing changed on June 15, Zaps need owner access to every connection since May, and Zendesk and Greenhouse Zaps needed manual updates this year.
Next Gen Zaps are early access, lack several Enterprise features, and have not shown their final billing. Shared MCP is only "coming soon".
Fifth gap, smaller: workflow size limits. Make's comparison page says Zapier caps a Zap at 100 steps and a Path at 10 branches; that is Make's claim and I did not verify it against Zapier's docs.
Zapier is the broad, easy option. Others win on price, depth or code.
